Project Administrator

Fort Wayne, Indiana

We are seeking a Project Administrator with interest or experience in the building construction industry to join our Architectural and Engineering firm. The Project Administrator knows the pulse of each of their Studio’s projects, and behind the scenes, helps the Project Manager ensure procedures are organized and followed, deliverables are on time, and goals are on track. DC Project Admin know the client, know the contractor, and may very well be the ultimate team player. The DC Project Administrator is the glue in the success of every project and a major player in ensuring a smooth process from start to finish.

Qualifications
  • Associates or bachelors degree in an administrative/business area of concentration preferred.
  • 2 to 4 years of experience in an administrative support role, A/E/C experience a plus but not required.

Key Responsibilities
  • Serves as part of a team of administrative professionals who communicate, support, and back each other up as necessary
  • Attends studio scheduling meeting and makes changes and corrections to project staffing hours, fee projections, and project schedules based on input from Studio Manager and PMs
  • Serves as project team liaison to General Contractor during construction administration
  • Leads the process of executing and distributing, in a timely manner, the appropriate contract documents throughout the life of a project
  • Files, tracks, and monitors large amounts of project documentation in Newforma (office project file management software)
  • Monitors and directs project team members in the timely and accurate completion of project documentation
  • Coordinates the process of assembling of appropriate AIA contract documents from Owner/Architect agreements through substantial completion
  • Leads, and coordinates shop drawing process, including teaching process to contractors as required, monitoring DC project team member progress, and working with team members to resolve any glitches in the process.
  • Initiates and finalizes the project specification process, creating table of contents, entering teammate and consultant edited data, importing sections from previous projects, detailed “proofing” of all sections, and electronically “finalizing” the package
  • Assists PM in the assembly and distribution of bid documents to Contractors, Owners and Consultants
  • Attends project kick-off meetings
  • Assists PM in assembly of required agency approval documents, entry of all known project data, coordination with outside parties, and final submittal
  • Assists and trains team members in learning new project processes and improving their skills at those already in place
  • Tracks progress of studio projects, working with PMs to discover plan glitches or future hurdles and adjust schedules accordingly
  • Controls and executes File uploading/Print requests –of Revit/AutoCAD models and files
